Covid-19 Policy

We are now able to accept event bookings but there are some very important terms and conditions in place to help keep everyone safe:

  • All event bookings must take place outdoors. In the case of inclement weather, Imaginacts Entertainment Ltd will work with you to find a mutually agreeable solution but we reserve the right to make the final decision on whether or not our characters can perform at your event without risking damage to our property

  • Your event must be in full compliance will all UK Government rules and guidelines in place on your event date

  • Social distancing must be observed at all times. Meet and greets will be conducted from two metres away

  • Our performers will bring hand sanitising gel to use and will wash hands as often as they are able

  • If, after we have taken payment, the UK Government make an announcement which means your event can no longer take place, you will have the option of rescheduling when it is once again deemed acceptable by the UK Government, or you can request that your deposit and any other monies paid for the event be returned to you in full

  • Imaginacts Entertainment Ltd is not to be held liable for any illness that may occur during or following an event

  • Should our performer(s) be unwell or presenting any symptoms and we are unable to find a replacement performer, you can choose to either reschedule your booking, or cancel with a full refund - we will endeavour to give you as much notice as possible in this case

  • We have masks available and you are very welcome to request that your chosen character(s) wear one - this is entirely at your discretion

Standard Booking Terms and Conditions

Payments

A non-refundable deposit of 25% of the total price will be required to secure your chosen event date and time. The non-refundable deposit must be paid within seven days of our sending you the booking finalisation link unless otherwise arranged in advance with Imaginacts Entertainment Ltd. The full remaining balance is due seven days before the event date. These can both be paid by bank transfer from the information provided in the booking finalisation link. 

Events booked less than seven days in advance must be paid for in full at the time of booking. Date and time subject to availability. 

 

Travel Expenses

A small travel fee is chargeable if your booking will take place in a location beyond a radius of 20 miles from our base in Romsey, Hampshire (we are unable to serve the Isle of Wight) at the rate of £2.50 per five miles – for example, if your event location is 27 miles beyond our base, you will be charged £5.00 in travel expenses. The distance will be determined by Imaginacts Entertainment Ltd according to the venue address you provide us with using Google Maps, starting from the S051 postcode. The travel fee applies for every three characters booked so for example, if you book four or five characters, the travel fee will apply twice.

 

Client Cancellation Policy                                    

All deposits are non-refundable. If you need to change the date of your event, please try to do so as early as possible so we can reschedule another date and time for your event (all new dates subject to availability). If cancelled less than 48 hours before the day of the booking, then the full booking fee is non-refundable. 

 

Imaginacts Cancellation Policy 

In the very rare case that Imaginacts Entertainment Ltd are unable to send your pre booked character(s) to your event due to unforeseen circumstances, we will 

1. contact you and mutually agree to send an alternative character to fulfil your booking to prevent a cancellation 

2. should we be unable to supply an alternative character for your booking either because we have no availability or because we do not have an available character you deem suitable, your booking fee (including deposit) will be completely refunded 

 

Working with Others

Imaginacts put a lot of hard work into ensuring that our performers are trained to the highest standard to play their assigned character, and into our costumes and wigs which are custom designed and made. We are unable to attend any event where there will be other character performers – professionals or volunteers, in order to protect our image. Our performers and assistants are not responsible for any children at an event. One assistant will be provided for every three characters booked.

 

Breaks (applicable only for bookings of three hours or longer)

Breaks are required so our performers can ensure that they’re always looking their best, and to allow them to have a drink and/or eat. A private break area must be provided where characters are completely out of sight from any event attendees. Our performers must have access to a toilet area during breaks which should not be accessible by members of the public. Characters will perform for the duration your booked time period - time for breaks is in addition. Breaks are required as follows;

  • Three hours – one 15-minute break

  • Four hours – one 30-minute break

  • Five hours or longer – one-30 minute lunch break and 15-minute breaks every two hours

 

Singalong Shows

Singalong shows can be added for bookings of two or more characters (not including super-heroes) and last around 20 minutes. Imaginacts’ performers are trained vocalists and will sing live to backing tracks. We will provide the music for any performances, and an assistant to operate the music. We require an aux input to be able to play our music through any provided sound system. We can provide a small PA system if you do not have one at your event, however it is unsuitable for large crowds due to its size and limited sound capacity. A 10 minute break in an enclosed and private area is required prior to singalong shows to allow for a vocal warm up.

 

Weather

The area provided for our characters must not be muddy or wet so if you are planning for your event to take place outdoors, we recommend that you have an indoor area for our characters to conduct meet and greets as a back-up plan should the weather make it unsuitable for our characters to work outside. In the case of extreme heat, more regular breaks may be required, and a shaded area must be provided for our characters to work in.

 

Parking

Parking should be provided for our characters and assistants, and we require one space per three characters. Ideally, the parking area for our characters would be discreet to avoid children seeing characters getting into and out of cars.

 

Photo Policy 

Imaginacts Entertainment Ltd may take photos and videos at events for our own promotional activities which may be used on our website and/or social media. We will always gain your agreement in advance if we plan to do this. We may use any photos and videos of your booking that you send to us in the same way.

 

Accident or Damage Policy 

Imaginacts Entertainment Ltd and/or our performers are not liable for any damages or injuries that may occur at any Event. 

We reserve the right to charge you for any damage to our property including equipment, wigs and costumes caused by intentional or reckless behaviour.
